Find files more easily with the Drive Android file picker

In 2023, we introduced a streamlined file organization with the new Google Drive location picker on web. Now, we’re rolling out similar improvements to the Drive app on Android devices. Drive files on Android
View tasks lists on the Google Calendar Android app 
Last year, we introduced full screen tasks lists for Google Calendar on web, enabling users to see all their tasks and task lists in a single full screen view. This week, we’re excited to announce that this same functionality is now available on Android devices. Add multiple multimedia files to a single message in Google Chat

New file picker method for pre-selecting Google Drive files coming soon 
Today, Google Drive developers rely on the drive.file scope and the Google Picker API to optimize user experience and safety when creating their applications. Easily find and navigate your Google Chat conversations by organizing them into custom sections

    Adding granular control options for who can respond to Google Forms

    What’s changing

    Last year, we ​​introduced a beta that gives Google Forms creators more granular control over who can respond to their forms via sharing settings. 
    Previously, form creators had two sharing options: restrict responses to users within their domain (and trusted domains) or make forms public (i.e. anyone with the URL can respond). 
    With this new option, now generally available, form creators can limit response access to specific users, groups, or target audiences—similar to how file owners can restrict the sharing of Google Docs, Sheets, Slides or Sites in Drive.

    Why you’d use it 

    This feature is useful in any scenario where you’d like to control who can respond to a form. For example, business leaders can better collect feedback from specific organizational units and prevent the form from being responded to by other teams or organization units. Similarly, teachers can use this to ensure a quiz is only accessible to select students who receive the link.

    Getting started 

    • Admins: There is no admin control for this feature. 
    • End users: 
      • Form creators must publish their form to enable responders to view the form or submit a response. 
      • Form creators can see who has access to the form and share response access to specific users, groups, or target audiences.

    What’s changing 

    Earlier this year, we introduced a beta for policy visualization across Google Docs, Sheets, Slides, and Drive. Today, we’re excited to announce this is now generally available, and as a result, users who are interacting with policy-protected content, such as those with data loss prevention (DLP) rules or trust rules, will now be informed about what actions are prevented by those policies. 
    For example, if a user is interacting with a document affected by DLP-enforced information rights management (IRM) and a trust rule, they will see a shield icon and side panel that informs them of the restricted actions.

    Why it matters 

    With this update, users will be made aware of which actions they are taking that are disabled on a document, spreadsheet, slides or file due to data protection controls. 

    Getting started

    • Admins: There is no admin control for this feature. 
    • End users: 
      • Any user will be able to see policy visualization if relevant restrictions apply to them. Security limitations can be applied by owners of a document, shared drive policies, or admin policies. 
      • A shield icon will automatically appear when security controls are present. Users can open the side panel to view all restrictions, either using the shield icon or by going to File > Security limitations.

    Adding improved accessibility tagging to PDFs exported from Google Docs 
    To improve the ability for users with screen readers and other assistive technology to read and navigate PDFs, we’re adding more structural and accessibility tagging in PDFs exported from Google Docs. Specifically, we’ve improved tagging for paragraphs, headings, hyperlinks, image alt text, and lists. | Rolling out now to Rapid Release and Scheduled Release domains. | Available to all Google Workspace customers, Workspace Individual Subscribers, and users with personal Google accounts. | Visit the Help Center to learn more about using Google Docs with a screen reader.


    Improving out of office notifications in Google Chat group messages and spaces 
    Today, if you navigate to a 1:1 direct message with someone who is out of office, you will see a banner that shows the person is out of office and the date they are returning.     Easily discover Google Workspace Marketplace apps in Google Docs
    We’re making it easier for users to discover and install relevant add-ons and apps available in the Google Workspace Marketplace. Starting this week, when you add a link into a Google Doc that is supported by select Marketplace apps, you will be prompted to install the relevant add-on.     Available in beta: Convert your client-side encrypted spreadsheets after a Vault or Takeout export 
    After a Vault or Data export (Takeout), admins can now convert their exported client-side encrypted spreadsheets to Excel files. | Learn more about CSE spreadsheets.

    Request an eSignature on PDF files

    Educators can now request access to third-party apps for their students

    What’s changing

    We’re introducing a new workflow that allows educators to request access to unconfigured third-party apps on behalf of their students.

    Admins can allow educators and users who are over 18 years of age to request access to apps for themselves or on behalf of others (proxy requests). For example, admins may create a group of trusted users who are responsible for vetting third party apps and allow them to make proxy requests on behalf of students.

    Educators can view a list of apps they have recently accessed with their Google Workspace account and request access for their students.
    Admins can review and take action on these requests in the Admin console by going to Security > API Controls > App Access Control. Requests will be denoted with a “Proxy”  label when the request is made on behalf of another user. 

    Once admins have configured access, they can opt to notify users and/or users who made proxy requests via email about the outcome of their request.

    Administrators can now allow a group of trusted users to vet and request third party app access on behalf of other users. This allows admins to better control who requests access and create a more streamlined process for app approvals.

    Create and manage rubrics using the Google Classroom API

    What’s changing 

    The Google Classroom API enables third-party developers to manage classes, rosters, invitations and more in Google Classroom. Since 2019, teachers have been able to create or reuse a rubric for an assignment, however this capability did not previously exist in the Classroom API. To improve upon this experience, we’re excited to announce that developers can now manage assignment rubrics via the Classroom API
    More specifically, developers can read and write rubrics using the API, and also see student submission scores broken down by the corresponding rubric criteria, rather than just accessing the total score, enabling deeper insights into student performance.

    This update enables developers to create and manage rubrics on behalf of teachers at scale, and retrieve rubric-based grades to support more holistic student performance insights.

    What’s changing

    Earlier this year we introduced Gems for the Gemini app, which are custom AI experts that you can build across a variety of topics. At launch, we included several premade Gems, which allow you to easily chat with an already built, topic-defined Gem, like a writing editor or coding partner.

    Launching first in English, we’re introducing several new Gems which you can leverage across a variety of areas, including common use cases for teams across sales, customer service, marketing, human resources, and more. Specifically, these Gems are:

    • Sentiment analyzer

    Introducing Gemini Learning Tools Interoperability (LTI™)

    What’s changing

    We’re pleased to introduce Gemini LTI™, an AI-powered assistant that can integrate into third party Learning Management Systems (LMS). Gemini LTI™ helps enhance the educational experience for both educators and students by providing AI-driven tools and features powered by Gemini within their LMS environment. To start, Gemini LTI™ integrates with Canvas by Instructure and Powerschool Schoology Learning.

    Google is committed to making AI helpful for everyone, in the classroom and beyond. Bringing Gemini into LMS tools helps educators boost their creativity and productivity to create more dynamic and engaging learning experiences for their students.     • Generate a quiz and export it to Google Forms.
    • Create a hook to spark curiosity and engage your students.

    Add multiple multimedia files to a single message in Google Chat

    What’s changing

    Users can currently send & share files such as images, PDFs and videos in Google Chat messages and use the Shared tab to access all conversation-related artifacts including files, links and media. However, only one image can be uploaded in a single Chat message on web at a time. 
    To improve upon this functionality, provide a highly-requested feature, and match the mobile experience, we’re excited to announce that users can now upload and send up to 20 multimedia files (photos and videos) in one Chat message. Dragging and dropping multimedia files into the compose bar from your desktop is also supported.

      An error message will show if a user exceeds size limits or uploads unsupported file combinations. Visit the Help Center to learn more about sending & sharing files in Google Chat messages.

    • Rapid Release domains: Extended rollout (potentially longer than 15 days for feature visibility) starting on November 19, 2024, with expected completion by December 3, 2024

    What’s changing 

    Earlier this year, we launched the ability to configure third-party apps by select API scopes to open beta. Beginning today, this feature is now generally available. 
    This update gives admins more granular control. They can limit third-party app access to specific OAuth 2.0 scopes for Google APIs, like Drive or Gmail. This prevents apps from gaining additional access without admin consent, even if they request new API scopes in the future. This helps ensure data access is restricted to only what admins deem necessary.
