Google Workspace Updates Weekly Recap – August 9, 2024

Unless otherwise indicated, the features below are available to all Google Workspace customers, and are fully launched or in the process of rolling out. Rollouts should take no more than 15 business days to complete if launching to both Rapid and Scheduled Release at the same time. If not, each stage of rollout should take no more than 15 business days to complete.


Appointment slots booking pages are no longer available in Google Calendar 
Earlier this year, we announced that the appointment slots feature will be replaced by appointment schedules in Google Calendar. Starting this week, appointment slots booking pages will no longer be available and all new appointments will need to be booked through appointment schedules. | Rollout to Rapid Release and Scheduled Release domains is scheduled to complete by the end of August 2024. |  Appointment schedules are available to Google Workspace Business Starter, Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Fundamentals, Education Standard, Education Plus, the Teaching and Learning Upgrade, Nonprofits, Google Workspace Individual, Google One Premium users and users with personal Google accounts. | Visit the Help Center for detailed information about appointment schedules. 
Dark mode now available in Google Classroom on mobile 
Similar to the recent announcement of dark mode in Google Drive, users will now be able to change the color theme of Google Classroom on their mobile device. New automation event for AppSheet databases is now generally available 
We’re excited to announce the general availability of AppSheet database automation events, allowing users to kick off automation workflows based on changes made directly in their AppSheet database. | Available to AppSheet Free, AppSheet Core and AppSheet Enterprise Plus. We’re introducing a new feature that surfaces richer student engagement data on assignments with Google Drive attachments in Google Classroom. “Take notes for me” in Google Meet is rolling out soon; pre-configure access with a new admin setting
“Take notes for me,” an AI-powered feature in Google Meet that automatically takes notes during your meetings, will be rolling out soon. Google Meet hardware event logs are now available in the security investigation tool and BigQuery

What’s changing 

We’re pleased to announce a new set of features to help you conduct deeper analysis and more flexible issue detection within your Google Meet hardware fleet:
 

First, Meet hardware log events are now captured in the security investigation tool. Within the tool, you’ll be able to view historical events for your devices and create customized alerts. You can also click out to Meet hardware log events from individual device pages (Devices > Google Meet Devices > [Device Name]), allowing you to find information on specific devices even faster.

Secondly, through integration with BigQuery, Meet hardware logs can be imported from the security investigation tool to be analyzed at scale. This is a powerful new tool that can be used to build customized views of your historical data across your entire hardware fleet. For example, you can use this data to identify which devices are the most used across your organization, which devices are experiencing the most issues within a specific timeframe, and more.

Admins: These features require Google Workspace customers to have active Google Meet hardware license(s) and proper privileges (Security Center > Audit and Investigation > View > Meet Hardware). Visit the Help Center to learn more about Meet hardware log events in the security investigation tool and reporting logs in BigQuery. End users: There is no end user impact or action required.

The AppSheet Admin Console is now available in public preview
For the first time, Workspace admins will have visibility into the users, apps and licenses associated with their AppSheet users via the AppSheet Admin Console. Previously, these advanced monitoring capabilities were limited to AppSheet Enterprise customers. Now all Workspace admins with the AppSheet service privilege can use this data to gain a deeper understanding about how their users are interacting with AppSheet. With the AppSheet Admin Console, you can view all the app users across any of your organization’s apps, review the most popular apps and creators, and more. Admins can also take actions like exporting a list of accounts, users, apps, and licenses for their organization or set the role of users in their organization. Eligible customers can access the AppSheet Admin Console using this direct link or clicking out from Apps > Google Workspace > Settings for AppSheet in the Workspace Admin Console. | The open beta for the AppSheet Admin Console is available now for AppSheet Enterprise customers and AppSheet Core entitled customers. | Visit the Help Center to learn more about using the AppSheet Admin Console.

Google Workspace for Education users can now set and share personal pronouns and name pronunciation
Google Workspace for Education admins of K-12 and higher education institutions can now give their students the option to set their pronouns from their Google Account at aboutme.google.com. This option is OFF by default and can be enabled for all users or a subset of them (such as for a specific location or class). User-defined pronouns will appear in personal information cards displayed when hovering over or clicking someone’s profile photo across Workspace apps like Gmail, Calendar, Docs, Sheets, Slides, Chat, and Drive. Pronouns will also appear in Google Contacts, accessed by clicking “Open detailed view” from the personal information cards. | Pronouns are rolling out now to Rapid Release and Scheduled Release domains. | The ability to add name pronunciation will be available by the end of Q3, 2024. | Available to all Google Workspace for Education customers. | Visit the Help Center to learn more about allowing Directory users to change their pronouns and changing pronouns in your Google Account settings.

Reply to emails in Gmail faster on Android devices 
You can now reply to emails directly from the bottom of the conversation, without opening a new screen, making it easier to reference the email you’re replying to. | Learn more about replying to emails on Android. 
Upload additional types of documents to Gemini (gemini.google.com) for insights and analysis 
Google Workspace users with a Gemini Business, Enterprise, Education or Education Premium license can now upload a variety of files from Google Drive or locally from your device into Gemini. | Learn more about document upload with Gemini. 
“Take notes for me” in Google Meet is now available 
“Take notes for me” is an AI-powered feature in Google Meet that automatically takes notes, allowing you to focus on discussion, collaboration, and presentation during your meetings. | Learn more about “Take notes for me” 
Google Meet provides consolidated email for all meeting artifacts 
Currently, Google Meet sends an email for each type of meeting artifact initiated in a meeting, including meeting recordings, meeting transcripts, Gemini notes with “take notes for me,” live streams and more. Additional data protection in Gemini (gemini.google.com) when using a school account is now available
Earlier this year, we brought Gemini for Google Workspace to education communities with two new paid add-ons. At that time, we announced that educators and students 18 years and older who did not have a Gemini Education license would soon get added data protection when using Gemini (gemini.google.com) as an Additional Service with their school accounts. Available in open beta: configure third-party apps by select API scopes

What’s changing 

When your users sign in to third-party apps using the “Sign in with Google” option (single sign-on) or use OAuth to share their data with those apps, you can control what access those apps have to your organization’s Google data using app access controls
Admins currently can configure the third-party apps as “Trusted”, giving them access to all OAuth scopes or as “Limited”, giving them access to scopes only from Google services which are not restricted. Beginning today, we’re giving admins another layer of granular control for third-party apps. Specifically, you can now configure apps to be limited by selected OAuth 2.0 Scopes for Google APIs, such as Drive or Gmail scopes. This helps ensure that these apps do not gain additional access without admin consent based on new API scopes that they might request in the future, keeping data access limited to only what is deemed absolutely necessary by admins.

Admins: To manage app access, in the Admin console navigate to Security > API Controls > App Access Controls. Visit the Help Center to learn more about controlling which third-party & internal apps access Google Workspace data.

Providing student engagement signals for Google Drive file attachments in Google Classroom

What’s changing

We’re introducing a new feature that surfaces richer student engagement data on assignments with Google Drive attachments in Google Classroom. 
With this update, teachers will have easily accessible visibility into whether students have made progress on assignments with Drive attachments through pre-existing workflows in Classroom. This can help to identify students who may need additional support and make more informed decisions about how to assist their students. 
Specifically, teachers can see: 
From the Classwork page: The number of students who haven’t edited attachments for assignments. From the student work page on individual assignments: When the attachments were last edited by each student. 
With this information, teachers can: 
Quickly see whether students have started on their assigned work Provide timely interventions like sending reminders to the class or individual students Adjust instruction based on class progress

Why you’d use it 

This feature gives teachers visibility into student progress on academic work and helps them provide effective interventions to best support students. 

Additional details

The feature is currently only available on assignments with Google Docs, Sheets, Slides and Drawings attachments. 

Getting started 

Admins: There is no admin control for this feature. End users: Teachers can view edit activity for a Drive attachment associated with a student submission by going to the Student work page and viewing submissions with Drive files attached. Visit the Help Center to learn more about viewing student engagement on assignments with Drive attachments.  

Rollout pace 

Rapid Release and Scheduled Release domains: Extended rollout (potentially longer than 15 days for feature visibility) starting on August 7, 2024, with expected completion by end of August, 2024.
